Phoenix Data Conversions is a leading service bureau providing high quality Data Capture and Document Conversion Services to Offshore Clients and “A” grade service providers of India. We do High Volumes, provide high level of accuracy and complete projects on time. We also serve select Indian Companies by providing them with back office support and document logistics services. We have been serving the Indian Stock Markets and Share holders thru Registrars and Transfer Agents by providing them good quality timely data at the time of IPOs and NFOs.

Phoenix Data Conversions understands value of client’s data and documents and handle these very carefully at all stages of operations. Confidentiality and security of client’s data is always upmost in our list of priorities.

Working with American and European clients has taught us importance of quality of deliverables. We use this experience to provide similar kind of quality data to our Indians Clients. In fact, our processes are oriented towards consistently good quality for our clients whether offshore or Domestic.

We are based in Western Suburbs of Mumbai. We have 2 facilities from where we serve our clients. One office is at Jogeshwari where only data capture is done whereas the facility at Goregaon provides back office services, Document storage and logistics and data capture services. Both these facilities are fully equipped with modern facilities, hardware with latest technologies and all software required to execute jobs properly. A small software team handles day to day technical requirements.

Our Team

Our core strength lies in 32 member team of data entry operators whom we have nurtured over the last 6 years. Most of them are with us for a long time and they have grown with our Organization. There is a small team of highly skilled QC operators who take full responsibility of quality by way of developing efficient processes and executing the process with precision. These QC operators give training to the operators before start of a new project. Their emphasis is always on quality because we believe that higher production will come after sufficient practice.

At this time, we operate in single shift. However, in the past we ramped up our capacity from 20 PCs to 100 PCs when heavy work pressures were felt. Extra PCs are retained in our other production center. As we did in the past, we can get over 100 data entry operators and train them within 8-10 weeks. We would not mind operating 2^nd shift if need arises. To further our adaptability to handle extra work load we have built a network of housewives who support us when work pressure increases suddenly.

Our In-house Technical team of IT Engineers is always on the look out to learn new processes and software. They get self-trained and then guide our Operators. The same team handles our software needs which are at times very demanding.

Our Processes

We have different types of clients. Offshore clients need finished outputs from us which must be over 99.95%+ accurate, some Indian Corporate’s also need over 99% accuracy, whereas service bureaus that have in-house QC processes in place need 95% accuracy. Depending on the type of client and its requirements we design our processes.

For example; to get 95% accuracy we adopt single data entry and edit checking and for 99%+ accuracy we go for Double entry and Single digital compare. For accuracy over 99.995% we select Double entry and Triple compare process.

For document conversion projects we adopt double checking method which has proven effective so far.

Our Infrastructure

Our infrastructure spread over two locations has designated areas for Computer Lab, Training Hall and Management Cabin, Pantry.

Server I: INTEL XEON DP 3.0 GHz HT, with 4084 MB DDR RAM, 620 GB Storage and LAN is used for Data Processing & Storage
Server II: INTEL XEON DP 2.0 GHz, with 4084 MB DDR RAM, 1800 GB Storage and LAN is used for Data Processing & Storage
Workstations: 100 Nos. INTEL CELERON / AMD SEMPRON 1.7 / 2.0 / 2.4 GHz, with 128 / 256 MB DDR Ram, 40 GB Hard Disk and 15” Monitor.
Network: 10/100 MBPS Network connection to all nodes and servers.
Scanners: Benq Scanners capable of 600 x 1200 DPI Scanning.
Printers: HP LaserJet 1100 A, Samsung ML1610, Epson LQ 300 + Dot Matrix Printer & Epson LX 300 +
Internet: 3 Nos. of 600 KBPS dedicated Broadband lines for data transmission & Internet connectivity.
FTP Servers: We have 2 FTP servers each having 50GB storage capacity backed by high speed backbone. We provide these FTP servers to our clients free of cost because we believe that it is our responsibility of getting data from the client and giving output to the client seamlessly.

Client's data is secure with us because

We have Anti Virus software with Firewall installed on server for security against hacker and virus attacks. There is no direct internet connection to Data Server.
Access to Systems and Server is restricted with protection using Login ID and Password.
Access to Internet limited to designated personnel only.
All USB Ports on all nodes are deactivated & disabled (through software as well as physically).
All activities/movements of personnel monitored via Close Circuit TV.
No personnel are allowed to carry any type of Portable Storage Devices or Floppies or Cd’s in the office premises.
No un-authorized personnel are allowed in Computer Lab & Server Room.
Last but not the least; we do not keep client’s documents and data beyond 30 days of completion of the project.
